Onboarding walkthrough

Follow the same checklist shown on the in-app Get Started page — with a recommended order and direct links.

Note: Tip: keep the Get Started page open in another tab so you can track progress as you go.

Quick start (10 minutes)

Open the Get Started checklist

In the app, open /get-started. It shows every setup task grouped by priority.

Do now vs later

Do now

  • Business Profile — phone, address, contact info
  • Notifications — job submitted alerts (email and/or SMS)
  • Share link — copy your intake link and send it to yourself
  • Test chat — submit one test lead so you see the brief

Do later

  • Branding — banner + socials
  • Team — invite crew leads / admins
  • Calendar — iCal feed
  • Invoice terms — polish your defaults
Tip: Your goal on day one is simple: generate one test job, review the brief in Inbox, and confirm you get alerted.

1) Set Business Profile

Fill in the basics

Go to Settings → Business Profile and add your phone number, address, and contact email. These show up in your customer-facing experience and on quotes/invoices.

Set your personal name

Go to Settings → User Info and set your name so your team and customers see the right sender.

2) Add Branding

Set your public slug

Go to Settings → Public Profile and set a clean slug (your link). This is what you’ll share on your website, QR code, and social.

Add your logo and description (recommended)

Upload a logo and add a short description so customers trust the link when it opens on their phone.

Tip: If you only do one branding step today, do the slug + logo. Banner and socials can wait.

3) Notification Preferences

Set your notification email

Go to Settings → Notifications and set the email that should receive alerts (especially “job submitted”).

Enable the alerts you want

Turn on email and/or SMS notifications for events like job submitted, quote approved, invoice paid, and message received.

4) Quote & Invoice Settings

Choose how customers can pay invoices

Go to Settings → Quotes & Invoices and configure your payment option (Stripe or an external payment link).

Add invoice terms (recommended)

Add your standard invoice terms so every invoice has the right expectations (due dates, fees, and policies).

5) Invite your team

Invite a teammate (if applicable)

Go to Settings → Team & Access to invite team members and set roles. You can also control lead visibility and notification scope per member.

Tip: Solo? Skip this for now — you can invite later without breaking anything.

6) Connect calendar

Generate your calendar feed link

Go to Settings → Integrations to generate your calendar feed link (iCal). This helps you see upcoming work in your existing calendar.

7) Review Chat

Copy your link and send it to yourself

Find your intake link in Settings → Public Profile (or follow the steps in Sharing your intake link).

Submit a test lead and review it in Inbox

Open the link on your phone, answer the questions like a customer, and submit it. Then review the new job in your Dashboard.

8) Get Leads

Share your public chat link

Use your public link on your website, Google Business profile, text messages, or printed QR materials so prospects can start the chat.

Use custom chat when you want to send a lead-specific link

From Inbox, you can send a custom chat link for a specific prospect when you want a more directed intake flow than the generic public page.

Create your first quote from a live or test lead

Once a lead is in the system, open the job, review the summary and photos, and turn it into your first quote. This validates the operational flow end to end.

9) Add Existing Job Records

Add your current pipeline to QuoteTxt

If you already have open jobs or existing customers, add those records so your Inbox, reporting, and future invoices reflect your real pipeline from day one.

Use manual job entry for phone or offline work

Manual job records are also useful when you collect an inquiry outside the chat and still want the work tracked inside QuoteTxt.
