Email notifications

New job submitted

When a customer completes the intake chat.

Quote approved

When a customer approves your quote.

SMS notifications

New job submitted

When a customer submits a job via the chat.

Quote approved

When a customer approves your quote.

Invoice paid

When a Stripe payment is received.

New message received

When a customer sends a message on an existing job.

Setting up email notifications

Go to Settings → Notifications

Enter a notification email

Your notification email defaults to your account email. You can change it to a different address — for example, a shared team inbox or a dedicated alerts address.

Toggle notification events

Enable or disable email notifications for:

  • New job submitted — get alerted the moment a customer submits
  • Quote approved — know immediately when a customer says yes

Save

Click Save notifications to apply your changes.

Tip: If you manage notifications for multiple team members, each person has their own notification preferences — see Team notification scope.

Setting up SMS notifications

Add your phone number

In Settings → Notifications, enter your mobile phone number in the SMS phone field.

Grant SMS consent

You'll see a checkbox to consent to receiving SMS notifications from QuoteTxt. Check this box to enable SMS. This consent step is required by mobile carrier regulations.

Toggle SMS events

Enable SMS alerts for any combination of:

  • New job submitted
  • Quote approved
  • Invoice paid
  • New message received

Save

Click Save notifications. SMS alerts will begin immediately.

Team notification scope

Each team member's notification scope can be configured independently. Notification scope controls whether they receive alerts for all jobs or only jobs assigned to them.

To update a team member's notification scope, go to Settings → Team & Access, find the member, and update their Notification scope setting.

Tip: If a crew member is complaining about too many notifications, set their scope to Assigned only so they only hear about jobs relevant to them.

Troubleshooting notifications

Not getting email notifications?

  • Check your spam or promotions folder
  • Verify the notification email in Settings → Notifications
  • Confirm the relevant event toggle is enabled and saved

Not getting SMS notifications?

  • Confirm your phone number is correct in Settings → Notifications
  • Make sure you checked the SMS consent checkbox and saved
  • Check that the specific SMS event is toggled on
  • Verify you haven't blocked the Twilio short code on your carrier
