Invite your crew, set roles, and control which jobs each person sees — all from your Settings.
Full access including billing management. Can invite, manage, and remove team members. Only one owner per account.
Full operational access — jobs, quotes, invoices, and most settings. Cannot manage billing or remove the owner.
Operational access to jobs assigned to them (or all jobs, depending on visibility mode). Limited settings access.
Go to Settings → Team & Access
Open Settings → Team & Access. You'll see your current team members and any pending invitations.
Enter their email address
Type the email address of the person you want to invite. This should be the email they'll use to sign into QuoteTxt.
Select a role
Choose Admin or Member from the role selector. You can change this later if needed.
Send the invitation
Click Invite. The person will receive an email with a link to accept and create or connect their QuoteTxt account. Until they accept, they appear as Pending in your team list.
Job visibility controls which jobs a Member (not Owner or Admin) can see in their inbox. There are two modes:
All jobs
The member can see every job in the account — including ones not assigned to them. Good for small teams where everyone pitches in.
Assigned only (default)
The member only sees jobs explicitly assigned to them. Useful for larger teams where you don't want crew members seeing all leads.
Change visibility for a member
Go to Settings → Team & Access, find the member, and toggle their visibility preference between All jobs and Assigned only.
Each team member can have their notification scope set independently of job visibility. This controls which events trigger email/SMS notifications for that person.
All jobs
Notified on every incoming job, quote approval, and payment — regardless of assignment.
Assigned only
Only notified for jobs explicitly assigned to them. Reduces noise for team members with a focused scope of work.
Go to Settings → Team & Access
Find the team member in the list. Click the role dropdown next to their name and select the new role (Admin or Member).
Save
Role changes take effect immediately — no need to re-invite the person.
Go to Settings → Team & Access
Find the member you want to remove and click Remove.
Reassign their jobs
Before the removal is confirmed, you'll be prompted to select a team member to reassign any jobs previously assigned to this person. This ensures no jobs become orphaned.
Confirm removal
Once you confirm, the member loses access immediately. Their past activity (job updates, notes) is preserved for your records.
